When you complete the Google Form to join a WhatsApp group, we may collect the following information:

• Your mobile phone number

Your data is used for the sole purpose of adding you to one or more WhatsApp/Telegram groups and managing communications related to the group(s). Specifically:

• Google stores the form responses securely via Google Forms and Google Sheets.

• Zapier automates the transfer of your data from the form to the WhatsApp contact management system and sending an email when registering.

• Meta Platforms, Inc. (WhatsApp) is used to add you to the WhatsApp group and manage communications within it.

• Apple Inc. may process your data if you access WhatsApp on an iOS device through iCloud or other Apple services.

We do not use your data for direct marketing purposes but you may see sponsored posts within groups that you are in.

 

4. Legal Basis for Processing

Under the GDPR, we rely on the following legal bases to process your data:

• Consent – You voluntarily provide your data to join the WhatsApp group(s).

• Legitimate Interest – To manage communication within the group and ensure smooth group functioning.

5. Who Has Access to Your Data

Your data is accessible to the creator of the group(s) for the purpose of managing communication.

To facilitate this your data may be processed or stored by:

• Google LLC (Google Forms and Sheets)

• Zapier Inc. (data automation between services)

• Meta Platforms, Inc. (WhatsApp platform)

• Apple Inc. (for WhatsApp access on iOS devices)

These companies act as data processors and may store data outside the UK/EU. Where applicable, we rely on standard contractual clauses or other lawful mechanisms for such transfers.

Group Members:-

The groups are for GPs, Practice Managers & Rota Managers. Admin may occasionally add other members to the groups in order to help facilitate the running of the groups (eg for help with admin/tech/legal advice). In WhatsApp groups these members can see your number and profile name. In Telegram groups they may or may not be able to see your number and profile name based on your own Telegram Privacy setting.

Sponsors

Some group members may also be sponsors and may post about their own businesses themselves. Sponsors that do not fit the criteria for group membership may have their messages posted on their behalf in the group but will not be admitted to the groups.

6. How Long We Keep Your Data

We retain your data until you inform us or we become aware of your permanent resignation from the WhatsApp groups or request its deletion following which your data will be deleted from our internal records within 90 days.

• The right to rectify inaccurate or incomplete data

• The right to request deletion of your data

• The right to restrict or object to processing

• The right to data portability
